Job Title: Registrar

Location: Delta, CO

Reports to: Operations Administrator

Purpose: Serve as the initial point of contact for the community accessing information and enrollment with Vision Charter Academy (VCA), as well as ensure the accuracy, integrity, and security of the academic records for Vision Charter Academy.

Pay Scale: $17.33 - $21.88 per hour

Contract: 223 days

Compensated Non-Working Days/Year: 16

Hours/Week: 25 (Non-Exempt, Part time)

Benefits: The position qualifies for Public Employees Retirement Association (PERA) benefits and qualifies for health, dental, life, and long-term disability insurance benefits. This position also qualifies for accrual of sick and vacation leave.

Note: **Position is not remote and must report to a physical location.***

Qualifications:

Education/Certification: High School Diploma or equivalent; Bachelor’s Degree in a related field preferred.

Must have a valid driver’s license and be able to pass a background check to work in a school.

Special Knowledge/Skills: The right candidate will have experience in individualized learning models and programs, as well as excellent communication and computer skills.

Experience: A minimum of two years experience working with families and learners in an administrative capacity.

General Description of Duties: Registrar typically oversees the administration of learner records, academic registration, and other essential services within an educational institution.

Major Responsibilities and Duties:

Be the first point of contact for families and learners interested in learning more about our school and the enrollment process.

Complete all enrollment processes for learners including: gathering, verifying and maintaining required documents, scheduling orientations, and completing the registration process in PowerSchool.

Complete and maintain accurate learner schedules in PowerSchool.

Complete and ensure all required documentation for the annual Pupil Count Audit.

Maintain spreadsheets and forms electronically to document family contact and other information and data points as required.

Communicate and coordinate effectively with multiple parties to ensure the enrollment and exit process is completed in a timely and effective manner.

Stay up to date with VCA's mission, vision, and initiatives, course catalogs, handbook, social media platforms, and website. Be knowledgeable about where to find information.

Ensure compliance with all state and federal laws per student records

Maintain all hard copy student records required by the program and the district (cumulative files, attendance sheets, schedules, transcripts, health, language)

Facilitate all requested materials and documents, both to and from district schools or other districts, and any other agencies or persons requesting school information

Coordinate with other appropriate staff to complete school-wide process for record administration

Provide grant support as needed

Carry out other organizational requirements as necessary including, but not limited to:

Communicate effectively and professionally with the staff members, learners, parents, administrators, and other contact persons.

Participate in employee evaluation and professional development opportunities.

Attend meetings, training, and committees as required.

Meet organizational deadlines and communication protocols.

Accomplish organizational goals by carrying out other duties relevant to the position as assigned by the supervisor.

Working Conditions:

This position works in a normal office environment.

This position works in a school environment.

Long periods of sitting, standing, talking on the telephone, and typing may be required.

It is common for this position to have a fluctuating schedule with increased periods of stress.

May be required to work evening hours for special program school events such as graduation.
